For agencies
Scope, feedback and approvals captured the moment they are spoken.
Half the disputes in client services are about what somebody said on a call. Routenna keeps the call’s assertions with the timestamp attached, so the record is evidence rather than a position.
What goes wrong now
Three failures, in order of cost
Scope creep nobody documented
“Can we also…” is the most expensive sentence in the business, and it is almost never written down at the moment it is said.
Feedback is lost between calls
Three rounds of notes across two calls and a thread. The version that ships reflects whichever set of notes the person building it happened to have open.
Approvals are disputed later
It was approved on the call. Later, it was not. Both parties are sincere, and neither has the receipt.

Client Services
- Kickoff
- Status Review
- Creative Review
- Strategy
- Escalation
Themes, meeting modes and brief templates change with the pack. Capture, review, isolation, consent and deletion do not.
Reads for scope changes, feedback items, approvals and escalation signals.
- Approvals with the moment attached
- An approval is extracted as a decision, carrying the speaker and the transcript timestamp. Disagreement becomes a question about the record instead of about memory.
- Feedback consolidated per project
- Notes from every call on the same client timeline, so what to build next is one list rather than three sources that partly contradict.
- A second read on the call you just left
- Three advisors read each meeting from their own point of view, citing the moment behind every line. The business read is the one that catches a client describing a new priority in a sentence nobody wrote down, which is usually where next quarter's work — or next quarter's argument — starts.
- Out-of-scope requests flagged when they are made
- New work surfaced as its own finding in the review queue, while there is still time to price it.
Nothing above writes itself into a client record. Every finding is a proposal until one of your people accepts it. how review works.
What a finding looks like
No receipt, no render.
Every finding carries the transcript moment it came from, a confidence score, and an honest label: fact, inference or recommendation. Below the confidence threshold it is filed as merely possible, never asserted. A claim that cannot show where it was said does not appear.
Decision
Proposed · awaiting review
“Approved on the second concept: go ahead and build it out, and we’ll handle the photography separately.”
Synthetic example. No client data appears anywhere on this site.
Getting started
Run it on the meetings you already have.
We work with a small number of practices at a time, for agencies and client-services teams. Terms are agreed in writing before anything records, and the plans and their prices are on the site rather than behind a call.
